IMPORTANT: Time Change to the BCLTA Trustee Roundtable session and BCLTA AGM at the conference
BCLTA has changed the time of the BCLTA AGM and Awards presentation to Saturday, April 9, 2011 7:45am - 10:15am and the BCLTA Round-table to 10:45-12:00 on the same day. If you have already registered for these sessions, they have automatically been updated. We had hoped to run the AGM in a separate time slot to the BCLA AGM, however, this change did not allow us enough time for elections, business and awards. The 2011 AGM for BCLTA will be held on Saturday, April 9, 2011 at the Victoria Conference Centre starting at 8:15 am. Please check in at 7:45-8:15 am. Breakfast is included! For more information and to view the agenda, please go to www.bclta.org/agm11.html
Voting Procedure at the AGM
BCLTA is still receiving annual memberships. Two weeks prior to the AGM, we will calculate the number of votes based on the formula below and will be able to let you know how many votes your board is entitled to. IF memberships continue to arrive within the two weeks prior to the AGM, the calculation MAY change slightly as it is based on member boards and the final list available at the AGM. Any boards who have not paid in full by April 6 will not be able to vote. Wondering if you are a member? Go to www.bclta.org/who.html
The formula is as follows, based on 2009 library statistics:

Individual – Institutional Members serving a population of less than 50,000 will appoint one (1) Individual Member. Institutional Members serving a population of greater than or equal to 50,000 will appoint a number of Individual Members as determined by the following formula:
Number of Individual Members = (Number of Public Libraries serving populations of less than 50,000) divided by (Number of Public Libraries serving populations greater than or equal to 50,000) rounded to the nearest integer number, but not less than one Individual Member – according to population statistics taken from the most recent edition of British Columbia Public Libraries Statistics.
Individual Members shall each have one vote at Special and General Meetings.
BCLTA Annual Awards
The BCLTA Awards Presentation will take place during the BCLTA AGM followed later in the day by a ticketed Awards Recognition Lunch at 12-2 pm where all awards recipients from partner organizations will be recognized. To register for the Awards luncheon, please go to www.bclibraryconference.ca

At the 2010 BC Library Conference, during our first Trustee Roundtable, the issues that were discussed by the participating trustees included:
1. Capital funding - what is there out there for libraries?
2. Updating the Library Act- many trustees are still wondering what is happening with this.
3. Diversity of BCLTA - regional libraries need to be more involved
4. Need to have a networking opportunity at the 2011 Conference
5. Future direction of BCLTA
6. Are we planning to get our ED back?
7. Our advocacy role
8. The idea of having the regional libraries meet separately with the Minister at UBCM.
A review of these items will be included as part of the Trustee Roundtable at the 2011 BC Library Conference in Victoria, and we are inviting all library boards to submit new or follow-up questions or topics for discussion by the board and attending trustees.
Trustees attending the Roundtable in person are welcome to raise any of their concerns/topics of interest during the conference session, but if you or your board are able to submit any inquiries in advance, it may permit the BCLTA board time to gather background information or preliminary answers to facilitate the live discussion.

BCLTA has recently updated the Effective Board Member Handbook. This key resource for library trustees is the accompanying publication for BCLTA’s Trustee Orientation Program. Developed with the assistance of Dr. Ken Haycock and updated in April 2011, the Handbook is a comprehensive reference manual for public library trustees. It is available online at www.bclta.org/thbook.html or you can order a copy from BCLTA for $8 each, includes shipping and handling.

In an ongoing outreach BCLTA has recently assisted the Kootenay Library Federation with some cost saving help.
